How to Automatically Send Certificates from Fillout Forms

To automatically send certificates from Fillout forms, connect your Fillout account to CertFusion with an API key, link a Fillout form to a certificate template, map the name and email questions, and enable Auto Issue. Every new submission then generates and emails a branded certificate — no manual steps required.

If you run webinars, courses, or CPD programs and collect attendee details through Fillout, you're probably still exporting submissions and sending certificates by hand. This guide replaces that with a one-time, five-minute setup. When you're done, each person who submits your form gets their personalised certificate in their inbox, automatically.

What you'll need

Before you start, make sure you have a CertFusion account with at least one certificate template (sign up free at certfusion.com), a Fillout account with a form that collects at least a name and an email address, and about five minutes.

Step 1: Open Manage Integrations in CertFusion

Log in to CertFusion and click your account icon in the top-right corner, then choose Manage Integrations.

Step 2: Connect Fillout

On the integrations page, scroll down to Fillout and click Connect.

CertFusion will ask for your Fillout API key. Click the Open Fillout developer settings link in the dialog — it takes you straight to the right page. In Fillout, go to Settings → Developer, open the API key tab, and click Copy.

Paste the key into the CertFusion dialog and click Connect.

You'll see a confirmation that your Fillout account is connected, and the integration flips to Active.

Note for EU users: EU Fillout accounts are detected automatically — you don't need to change any region settings.

Step 3: Link a Fillout form to your certificate

Go back to Certificate Templates, find the certificate you want to send automatically, and click its Manage recipients icon.

Click Add Recipients. Alongside manual entry and CSV import, you'll see Or import from your tools — choose Fillout.

This opens the Fillout to Certificates panel. Select your form from the dropdown. If a recently created form doesn't appear, click the refresh icon to pull the latest list from Fillout.

Step 4: Configure the webhook

Click Configure Webhook. This is where you tell CertFusion which form questions hold the recipient's details. Map Name to your form's name question and Email to the email question — both are required for certificate generation.

Step 5: Turn on Auto Issue and save

Switch on Auto Issue so certificates are generated and emailed the moment a submission arrives. (Leave it off if you'd rather collect recipients first and issue in batches later.) Then click Save Configuration — you'll get a confirmation that new form submissions will automatically create recipients.

Step 6: Test it with a real submission

Open your form in Fillout, grab the share link, and submit a test entry with your own name and email. Then head back to your certificate's Recipients tab in CertFusion and hit refresh. Your test submission appears as a recipient with the status Issued — the certificate has already been generated and emailed.

That's the whole setup. From now on, every Fillout submission becomes an emailed certificate without you touching anything.

FAQ

Does this work with any Fillout form? Yes. Any Fillout form works as long as it collects a name and an email address. Other question types can be mapped to certificate custom properties.

Can I add recipients without emailing certificates immediately? Yes. Leave Auto Issue switched off — submissions will still be added as recipients, and you can issue their certificates manually whenever you're ready.

What happens to submissions made before I set up the integration? The webhook only fires for new submissions. For past responses, export them from Fillout as a CSV and use CertFusion's CSV import to add them in bulk.

Do certificates count against my plan quota? Yes — each issued certificate uses one certificate from your monthly quota, the same as manually issued ones. You can see your usage at the top of your CertFusion dashboard.

Can I use other form tools instead of Fillout? Yes. CertFusion also connects to Typeform, Tally, Youform, Jotform, Google Forms, and more.
